Manage Access & Collaboration
The Manage Access feature on PanoCool is designed to simplify your workflow. Whether you are collaborating with a co-editor, sharing a draft for client feedback, or handing over a completed virtual tour, you can control exactly who has access to your work without sharing account credentials.
1. Collaboration Roles
PanoCool allows you to invite team members or clients to access your virtual tours with specific roles. Only the Project Owner can send invitations or manage access.
- Editor: Can edit project.
- Viewer: Has read-only access to view the project configuration but cannot make any changes.
Plan Requirements
- To invite collaborators (Editors or Viewers), the Project Owner must be on the Super Cool plan.
2. Inviting a Collaborator
- Open your project and look for the Manage Access button.
- Enter the email address of the person you want to invite.
- Select their role (Editor or Viewer).
- Click Send Invitation.
Invitation System:
- Invitees will receive an email with a link to accept or decline the invitation.
- New Users: If the invitee does not have a PanoCool account, the project will be automatically linked to their new account once they register using that email address.
- Limits: Each project can have a maximum of 10 collaborators (this includes both active members and pending invitations).
3. Transferring Project Ownership
When you need to hand over a project permanently—such as delivering a final tour to a client—you can use the Transfer Ownership feature.
How it Works:
- Once you initiate a transfer, the invitee receives a notification to accept ownership.
- Role Change: After the invitee accepts, you will automatically be moved to an Editor role, and the recipient becomes the new Project Owner.
- Restrictions: You can only have one pending transfer invitation per project at a time.
Plan Requirements
- Both the Sender and the Receiver must be on the Super Cool plan to successfully complete a Project Transfer.
4. Managing Shared Projects
If a project has been shared with you, it will appear in your project list with a Shared Badge. This badge indicates your role (Editor or Viewer) and displays the name of the Project Owner.
- Non-owners: If you are not the owner, you will see a read-only notice in the Manage Access menu.
- Revoking Access: As the owner, you can remove collaborators or cancel pending invitations at any time from the dashboard.
Pro Tip: Need to hand over a project to a client? Ensure they have upgraded to the Super Cool plan first so they can accept the transfer!
